An administrative assistant cover letter where all three paragraphs matched
One administrative assistant cover letter, printed exactly as the builder wrote it. The administrator and the institute are invented. The selection and the gaps came out of the product.
— minutes inside forty-eight hours is a promise somebody kept.

Administrative applications are usually rejected for vagueness rather than for weakness. This page shows what precision looks like when a machine has to rank it. Rosalind Kettleby is invented, Havenshaw Institute is invented, and so are both of her employers. The letter is real output: the evidence below was handed to the cover letter builder and the reply is printed word for word.
The post, and the evidence the letter may use
An invented person. Not a real document, and not yours.
The role
Administrative Assistant · Havenshaw Institute
The posting
Havenshaw Institute is recruiting an administrative assistant for its research office. The role covers calendar management for four directors, minute taking at the monthly board, document management of grant paperwork, and office management of a 30-desk floor. Accurate data entry into the grants register is essential.
What the letter may claim
- Managed calendar management for 4 directors and 9 recurring committees.
- Handled minute taking for 11 board meetings a year with minutes circulated inside 48 hours.
- Rebuilt the document management system for 3 200 grant files and cut retrieval to under a minute.
- Coordinated travel and accommodation for 60 conference attendances a year.
- Introduced a shared inbox rota that cut unanswered enquiries from 40 a week to 4.

The letter the builder wrote
Direct voice, the one the door opens with. Three of the eight paragraphs are Rosalind's own sentences.
Dear Havenshaw Institute Hiring Team,
I'm applying for the Administrative Assistant role at Havenshaw Institute.
Managed calendar management for 4 directors and 9 recurring committees.
Handled minute taking for 11 board meetings a year with minutes circulated inside 48 hours.
Rebuilt the document management system for 3 200 grant files and cut retrieval to under a minute.
The posting asks for Calendar Management, Minute Taking and Document Management — all of which I've worked with directly.
I'd welcome the chance to talk through any of this.
Rosalind Kettleby
Where each paragraph came from
Lines 5, 6 and 7 of the evidence list, and this is the cleanest result of any page in this set: each selected line matched exactly one duty the posting names, in the posting's own words, and each carries a number. Five duties were recognised in the advertisement and the three paragraphs answered three of them.
That happened because the evidence was written in the vocabulary of the job rather than in the vocabulary of a personal statement. "Managed calendar management for 4 directors" is a slightly awkward sentence and it is an unmistakable one. Keywords on a document covers where the line sits between naming the work and stuffing the page.
What it refused to claim
Two gaps: office management and data entry. Both are named in the posting. Rosalind runs a shared inbox rota and rebuilt a filing system for 3 200 grant files, so she plainly does both, and the engine will not infer it from adjacent work. That is the trade: a letter you can send without re-reading it for invented claims, and a gaps list that occasionally states the obvious. Reading your own gaps list turns each of those into one true sentence.
No language model runs in any of this. Selection is deterministic code over her own lines, and the reply carries that fact in its own payload.
What an administrative letter has to prove
Load and reliability. Load is the count of directors, committees, meetings, files, desks. Reliability is the promise attached to it: minutes inside forty-eight hours, retrieval under a minute, unanswered enquiries down from forty a week to four. Every one of those is a thing a manager can check in the first month, which is precisely why it is worth writing.
What does not belong is a paragraph about being organised. The forty-eight hours says it, and says it in a form nobody can argue with. Numbers you can actually get is the companion piece for a job that rarely comes with reporting.
The same evidence in the other two voices
Three voices ship with the builder, and changing one rewrites the connectors rather than the evidence. The ranking never sees the voice, so the same lines are selected in the same order in all three. Run on this page's own evidence, the warm voice opens "I'd like to be considered for the Administrative Assistant role at Havenshaw Institute." and closes "I'd be glad to walk through any of this with you." The formal voice opens "I am writing to apply for the position of Administrative Assistant at Havenshaw Institute." and closes "I would welcome the opportunity to discuss my application further." The middle connector changes with it: warm writes "You mention Calendar Management, Minute Taking and Document Management; those have been the centre of my recent work." and formal writes "The role calls for Calendar Management, Minute Taking and Document Management, each of which I have applied in practice." In the product, switching voice keeps the draft you already have as a version before it writes the new one, so nothing is lost by trying the other two.
The design, and what the door does
Academic sets a centred correspondence block, which suits an institute or university office. The paper changes and the words do not, across all 12 designs in the gallery.
The door below opens 02 · Details with the role, the institute, the posting and the four evidence groups loaded and removable. Nothing is composed until you press Write the letter. Put your own diaries and committees in, paste the real advertisement, and the same ranking runs on your lines. The executive assistant résumé example shows the document those lines come from.

- Is Rosalind Kettleby a real person
- No. She is invented for this page, and so are Havenshaw Institute, Cawsand Trust and Thrimby Partnership. No real office is described and no hire is claimed.
- Did the product really write this letter
- Yes. The evidence list was posted to the same endpoint the Write the letter button posts to, and the reply is printed above unchanged. The engine reported three selected paragraphs, three matched duties and two gaps.
- Why are office management and data entry gaps
- Because the posting names both and the evidence never uses either phrase. Rosalind plainly runs an office and plainly types things into registers. The engine reads what is written, so the fix is one true line rather than an argument.
- What does “Use this example” do
- It opens the cover letter builder on 02 · Details with the role, the institute, the posting and the four evidence groups already loaded. No letter and no application record exists until you press Write the letter.
- Is an administrative letter allowed to be short
- Short is the point. Eight paragraphs, three of them evidence, is the shape the engine produces, and it fits one page in every design. A long letter in this field reads as a lack of editing.
- Which design is this example in
- Academic, centred correspondence, which suits a university or institute application. Any of the 12 designs carries the same words.
Conxfolio is a free set of four career tools: a résumé builder with 37 rendered layouts, an ATS résumé checker that prints its own arithmetic, a cover letter builder that traces every proof paragraph back to the line it came from, and a portfolio builder with 20 authored designs. There is no account to create, nothing is held back for a paid plan, and no language model is used anywhere in the product, so the readers, the score and the letter are deterministic code you can check.
